  1. What data do we process when you contact us?
    
When you send an e-mail to glcc2026 [at] lcsoftmatter [dot] com, when you use our contact form, when you use the registration form for participation in GLCC 2026, or when you submit an abstract for participation in the conference through the abstract submission form, we will use your data to respond to your message and to manage your registration profile for the conference.

    1. What data do we collect?
      1. If you contact us: We collect and store the following data:
        • Your e-mail address;
        • Your name;
        • Your company/institution name, if included;
        • The time and date your message was sent;
        • The information that you decide to share with us in the message.
      2. If you submit an abstract for consideration for the 2026 German Liquid Crystal Conference: We collect and store the following data:
        • Your e-mail address (required);
        • Your name and the names of your co-authors (required);
        • Your company/institution name and address (required);
        • Your abstract title, text, and details (required);
        • Any additional information that you decide to share with us in the abstract submission form.
      3. If you register for the 2026 German Liquid Crystal Conference: We collect and store the following data:
        • Your e-mail address (required for registration);
        • Your name (required for registration);
        • Your company/institution name and address (required for registration)
        • Your meal preferences both during the conference and the conference dinner, to include allergies and food intolerances;
        • Your preferences regarding the sharing and publication of photos and information about the conference (required for registration);
        • Payment and transaction history related to the payment of the registration fees;
        • Any additional information that you decide to share with us in the registration form.

    2. Who else gets access to your data?
      • Depending on the content of your message, your data may be shared with the members of the German Liquid Crystal Conference Organizing Team, any staff of the University of Luxembourg who may need the information in order to respond to your request, and our catering partners for fulfilling your requests for food availability. We do not share your data with any other third parties without your affirmative consent. Your data will be stored on our servers and our personal computers solely for the purpose of responding to you and fulfilling the requests and requirements necessary for managing the conference.
      • We use an analytics service provided by Umami.is to monitor traffic to our website. This only registers the location from which you access the website and your IP address and does not otherwise store your data.
      • We also use the RapidWeaver stack “Formloom 4” from Yabdab Inc. to provide a contact and registration form on our website. This stack simply forwards the form content you filled out to our own e-mail address and does not itself store any of your data.

    3. Why are we allowed to process this data?
      We have a legitimate interest (Art. 6(1)(f) GDPR) in collecting and processing your data for the purposes of organizing the conference.

    4. How long do we keep your data?
      The criteria used to determine the period of storage of personal data is the respective statutory retention period. After expiration of that period, the corresponding data is routinely deleted as long as it is no longer necessary for the fulfillment of the contract, for the initiation of a contract, or required for the management of the conference and related things.

    5. What are your rights?
      • You have the right to know which information we hold about you (right of access, Art. 15 GDPR).
      • You have the right to ask us to rectify the data we hold about you, if such data are incomplete or inaccurate (right to rectification, Art. 16 GDPR).
      • You can object to the processing (right to object to processing, Art. 21 GDPR), which would stop or prevent us from using your data.
      • You have the right to ask us to delete your data (right to erasure, Art. 17 GDPR).
      • You can ask us to transfer your data to another service if it is technically feasible (right to data portability, Art. 20 GDPR).
      • Finally, you can ask us to limit how we use your data (right to restrict processing, Art. 18 GDPR).

Important: We do not have arrangements with any company to manage the conference, whether in organization, transportation, accommodation, or logistics. Any e-mail asking or offering to help you with booking accommodation or transportation arrangements is not from us. The only official conference e-mail address is glcc2026[at]lcsoftmatter[dot]com.
